As professional event florists, our work extends far beyond just arranging flowers. The end result might be stunning, but let's not kid ourselves, the journey there isn't always glamorous! Dealing with perishable flowers, each with its own temperament, alongside the dynamic nature of events like weddings—orchestrated by a team of various vendors all with a unique location and timeline—inevitably presents challenges. Over the years, we've learned to anticipate and prepare for any scenario, ensuring not only our peace of mind but also the success of one of the most significant days in our clients' lives. (no pressure!!!)

 
 

For every event, there's an essential checklist of items we never leave without. Loading up our box truck requires careful consideration of these necessities:

  1. All of the Carts: Utilizing different levels not only optimizes space but also expedites loading and unloading—a crucial time-saving measure, especially when dealing with heavy installations and tight schedules.

  2. Ladders/Step Stools: Essential for reaching lofty heights, even if there's no installation planned. None of us are exceptionally tall, so having the right equipment is much needed!

  3. Rolling Racks and Crates of Candles and Vases: Shoutout to Sarah for being the labeling queen! Her attention to detail ensures that everything gets to where it needs to be, in tact, without any last-minute scavenger hunts.

  4. Other Hardgoods: Including tall stands, columns, arch bases, etc.—all securely packed and labeled to withstand the journey.

  5. Flowers: Premade arrangements carefully boxed for transport, while larger centerpieces are placed on non-stick pads to prevent shifting during transit.

  6. Emergency Kit: Stocked with an array of essentials for any unforeseen mishaps! We never leave for a delivery without it!

  7. Popup Trash Bin: A necessity for keeping things tidy amidst the chaos of setup. It’s one of our favorite things!

  8. Cleaning Supplies: Broom, dustpan, and tabletop vacuum ensure a pristine setup area. It gets messy before it gets pretty!!

  9. Pitchers: Vital for replenishing water levels in vases and containers throughout the event.

  10. Buckets of Flowers: Whether for additional arrangements or on-site adjustments, extra buckets of flowers are always on standby!

Once everything's packed in Tetris-style and bungeed down for dear life, we hit the road. Loading the truck is no easy feat—it requires a coordinated team effort, meticulous preparation, and the right equipment. Not only do we contend with some pre-event jitters (let's face it, no matter how seasoned you are, a touch of nerves is inevitable when you're passionate about your craft!), but we're also navigating tight timelines and juggling numerous moving parts, all while ensuring we don't exhaust ourselves before the day even starts.

We're hoping this peek into the nitty-gritty of event prep drives home why delivery charges are a must and, more importantly, shows why having seasoned pros on board is priceless!
